How to choose a 401(k) recordkeeping platform.

What a recordkeeping platform must do, how daily-valued and balance-forward models differ, and the questions an independent TPA should put to any vendor before moving plans.

What a 401(k) recordkeeping platform does

A recordkeeping platform is the system of record for participant accounts: who contributed what, how it is invested, what each account is worth and every transaction that changed it. It receives contributions from payroll, posts them to accounts, applies earnings, processes distributions and loans, and produces statements and the data behind Form 5500.

For an independent TPA, the question is usually not whether the plan needs recordkeeping but who keeps the records: an outside recordkeeper, or the TPA itself using its own platform. This guide is for the second case and for TPAs evaluating platforms on behalf of sponsors.

Daily-valued or balance-forward?

Many independent TPAs keep balance-forward plans in-house and use an outside daily-valued recordkeeper for the rest. Know which model each candidate platform is built for.

Ten questions to ask any recordkeeping platform

  1. How does contribution data arrive?

Which payroll formats are accepted, and what checks run before posting?

  2. What is the ledger model?

Participant subaccounts by source (pre-tax, Roth, match, profit sharing, rollover), with a full transaction history.

  3. How are settlements tracked?

Can you see pending and settled money movement, and match it to bank activity?

  4. How are discrepancies handled?

Is there a queue with owners and notes, or do differences live in spreadsheets?

  5. How are earnings allocated?

For pooled plans: which allocation methods, and can you see the calculation?

  6. Distributions and loans

Which transaction types are supported, and how are approvals recorded?

  7. Does it feed testing and Form 5500?

Or must data be exported and re-keyed?

  8. Where is the data hosted?

Vendor cloud, customer cloud or on-premise, and under what written responsibilities?

  9. Can you get your data out?

Full export of balances and history in a documented format.

  10. How is a conversion run?

Plan-by-plan migration with balance validation before switching.

Controls that protect the TPA

  • Every posting traceable to a source file and a person.
  • Segregation between who uploads, who approves and who reconciles.
  • Reconciliation of the ledger to bank and custodian statements on a schedule.
  • Change history on plan provisions that affect allocations.

How KinetiPlan approaches recordkeeping

KinetiPlan's pilot build includes a pooled trust ledger with ACH settlement batches, a discrepancy queue where staff approve or dismiss with notes, ledger filters and CSV export, and payroll intake validated against the plan census before posting. It records money movement but does not move money, and it has no live custodian connections today. See 401(k) recordkeeping software for TPAs.
