401(k) recordkeeping software for independent TPAs

KinetiPlan is a 401(k) administration and recordkeeping platform built for independent third-party administrators. The pilot build connects your plan directory, participant census, payroll intake, pooled trust ledger, compliance testing, deadlines, projects and billing, so one data set drives the whole plan year instead of a dozen spreadsheets.

THE PROBLEM

Growth should not mean more re-keying.

Most independent TPAs run on a mix of tools: a census spreadsheet per client, payroll files that arrive in different layouts, a separate testing tool, a deadline tracker, an invoicing system and a shared inbox holding everything together. Each handoff is a chance to copy a number wrong, miss an exception or lose track of who owns the next step.

Those handoffs also set a ceiling on growth. When every new plan adds manual reconciliation and status chasing, the practical way to take on more clients is to hire more staff. The aim of KinetiPlan is different: keep plan, participant and money data in one connected record so that checks run on the data you already hold and people spend their time on the exceptions that need judgment.

  • Fewer manual errors, because payroll files are validated against the census before anything posts to the ledger.
  • Faster recordkeeping, because ledger activity, discrepancies and plan records sit in the same place.
  • More capacity per person, because project status, deadlines and workload are visible without status meetings.
CONNECTED MODULES

What the pilot build already runs

Every module below is working in the pilot build today, using synthetic demo data. Each one reads from and writes to the same plan and participant records.

01

Plan directory and sponsors

Every employer you serve, with contacts, interaction notes and each plan they hold. A plan page shows plan type, plan number, plan year end, recordkeeper, assets, participants, ledger activity, payroll batches, projects and open discrepancies together.

02

Participants and census

A participant census across all plans with status, hire date, compensation, deferral rate and balance. Filter by plan or status and export the census to CSV when a client or auditor asks for it.

03

Payroll intake with census validation

Upload payroll CSV exports from ADP, Paychex, Gusto or a generic layout. Each file is validated against the plan census, exceptions are counted per batch, and failing files are rejected with reasons. Validated batches post to the trust ledger.

04

Pooled trust ledger and discrepancy queue

Ledger activity filterable by status, type, plan and date, with pending ACH settlement batches and CSV export. Out-of-balance items open in an exception resolution center where staff approve or dismiss them with notes.

05

Compliance testing

ADP/ACP, 410(b) coverage, top-heavy, 402(g) and 415(c) results for each plan's census and plan year, with action-required items, estimated corrective distributions and a per-plan testing report.

06

Compliance calendar

Regulatory deadlines for every plan across prior, current and next plan years, with overdue, due-in-30 and due-in-90 counts, filters by category and consultant, and an .ics feed you can subscribe to.

07

Projects board

Each plan year runs as an annual administration project with a 10-step checklist from census request to Form 5500 filing. A board view shows every project by status, filterable by consultant and plan year.

08

Billing and proposals

A fee schedule calculator for base, per-participant and asset-based fees that drafts a proposal, plus invoices, quarterly invoice generation and collection status across ACH and check payments.

09

Staff workload and the JSON API

A staff workload report shows open projects, open tasks, overdue tasks and 30-day throughput per person, with CSV export. A documented JSON API with interactive docs exposes the platform's data for integration work.

HOW IT FITS TOGETHER

One record from payroll file to plan-year close.

Catch errors at intake

A payroll file that does not match the census is stopped at the door. Staff see the batch, the record count, the exception count and the status in batch history, and correct the file before money is recorded against the wrong participant.

Reconcile where the money lives

Posted batches become ledger transactions with allocations. When a total does not agree, the discrepancy links back to the plan, sponsor, participant, payroll batch and transaction, so the reviewer has the context in one screen.

Test on the data you already hold

Nondiscrimination and limit testing runs on the same census that payroll intake checks against. You can change the match formula, re-run, and see how corrective distributions or a QNEC fix would move.

Manage the season, not the inbox

Projects, deadlines and the workload report show which plans are behind, who owns the next task and where overdue work is building, so you can rebalance before a deadline is at risk.

ADOPTION PATHS

Start where the risk is lowest for your practice.

Replacing a recordkeeping system is a significant decision. KinetiPlan's proposed approach is to prove each stage before expanding scope. See migration and adoption for the full stage-gate method.

A

Administration-first

Use KinetiPlan for selected TPA workflows such as projects, testing, deadlines and billing while your existing recordkeeper stays in place, subject to feasibility. The key question is whether data exchange, ownership and reconciliation boundaries can be made reliable.

B

Integrated platform

Assess a broader path that adds the participant ledger, transaction history and end-to-end reconciliation. This calls for conversion rehearsals, parallel comparisons and go-live only against agreed tolerances.

C

Phased

Begin with one workflow or a small group of plans, agree success measures, validate outputs, then decide with evidence whether to expand. This keeps the initial scope small and reversible.

WHERE THE PRODUCT STANDS

A working pilot build, honestly described.

KinetiPlan is in its pilot phase. The modules above run in a demo environment with synthetic data; it is not a generally available or certified production system. There are no live payroll or custodian connections today: payroll arrives as uploaded CSV exports, and live connections are scoped during a pilot. Compliance testing results should be reviewed by qualified staff before use. AI assistance is planned for a later phase; the Ask Kineti AI button opens a preview panel only and does not call any AI service. Production hosting, security and integrations are agreed and validated with each customer before live data is used.

FAQ

Common questions from independent TPAs

Is KinetiPlan available for production use today?

Not yet. KinetiPlan is a pilot build running on synthetic demo data. It is not generally available or certified. A pilot is the way to validate workflow fit, data quality, calculations and controls on a contained scope before any production decision.

Do I have to replace my current recordkeeper?

No. An administration-first path is designed to keep an existing recordkeeper in place, subject to feasibility, while you use KinetiPlan for selected workflows. Whether that works depends on how reliably data exchange and reconciliation can be defined for your setup.

Which payroll providers does KinetiPlan work with?

The pilot build accepts uploaded CSV exports in ADP, Paychex and Gusto layouts, plus a generic CSV layout. There are no live payroll provider connections today; those are scoped during a pilot.

How does KinetiPlan help a TPA grow without adding headcount?

It cannot promise a specific result. The design goal is to reduce manual handoffs by validating payroll against the census, keeping discrepancies in one queue, and showing project status, deadlines and staff workload in one place, so staff time goes to exceptions that need judgment.
