CHANGE WITH CONTROL

Migration should be a managed program, not a leap of faith.

Moving plan data and operational workflows requires clear ownership, reconciliation, realistic test cases, and an agreed fallback. KinetiPlan’s proposed approach is to prove each stage before expanding scope.

CHOOSE A STARTING POINT

Two adoption paths. One disciplined method.

A

Administration-first

Evaluate selected TPA workflows while an existing recordkeeper remains in place. The key question is whether data exchange, ownership, and reconciliation boundaries can be made reliable.

  • Identify system of record for each data element.
  • Define inbound/outbound file or API contracts.
  • Test edge cases, rejects, corrections, and resubmissions.
  • Agree how records and totals are reconciled.
B

Administration + recordkeeping

Assess a broader replacement path that includes participant ledger, transaction history, investment/valuation inputs, and end-to-end reconciliation.

  • Inventory plan, participant, balance, and transaction history.
  • Map legacy codes, dates, sources, and statuses.
  • Run conversion rehearsals and parallel comparisons.
  • Approve go-live only against agreed tolerances.
Important: These are intended implementation patterns, not a promise that every source system or migration scenario is already supported. Feasibility must be established during technical discovery.

PROPOSED STAGE GATES

Make each step testable.

01Discover

Inventory systems, plan types, data flows, roles, and operating constraints.

02Map

Document field mapping, transformations, exceptions, and ownership.

03Rehearse

Run repeatable test conversions and capture unresolved differences.

04Parallel validate

Compare critical totals, sample records, calculations, and outputs.

05Approve

Proceed only when acceptance criteria and fallback plans are signed off.

Define acceptance criteria before loading data.

Examples include record counts, balance totals, contribution totals, transaction coverage, exception closure, report parity, and documented sign-off. Thresholds must be set for the specific conversion.

What a useful first conversation covers

01

Current environment

Administration system, recordkeeper, payroll sources, document tools, reports, and any custom integrations.

02

Data and volume

Plan counts, participant counts, transaction history, file formats, peak periods, and data retention needs.

03

Controls and operations

Role separation, approval steps, audit evidence, service-level expectations, and support ownership.
